We are seeking an innovative, highly analytical, and results-driven AI Prompt Engineer & Workflow Specialist to help lead the organization's AI transformation initiatives.
Position Summary
The AI Prompt Engineer & Workflow Specialist is responsible for designing, implementing, optimizing, and governing AI-powered solutions, workflow improvements, automation initiatives, and operational efficiencies across Pacific Health Group.
This role combines expertise in prompt engineering, workflow analysis, business process improvement, automation design, systems thinking, and organizational change management. The position works closely with executive leadership and departments across the organization to identify inefficiencies, standardize processes, implement AI-enabled solutions, and improve operational performance.
The successful candidate will serve as the organization's internal subject matter expert on artificial intelligence, prompt engineering, workflow optimization, automation opportunities, AI governance, and process standardization while ensuring solutions align with organizational objectives, compliance requirements, and operational needs.
Essential Duties And Responsibilities
AI Prompt Engineering & Optimization
- Design, test, optimize, and maintain prompts for Large Language Models (LLMs), including ChatGPT, Claude, Gemini, Microsoft Copilot, and emerging AI platforms
- Create, organize, and maintain enterprise-wide prompt libraries and AI knowledge repositories
- Develop role-specific prompts, workflows, and AI solutions for Human Resources, Operations, Revenue Cycle, Member Services, Community Programs, Recruiting, Compliance, Behavioral Health, and Executive Leadership
- Continuously evaluate prompt effectiveness and optimize outputs for quality, accuracy, consistency, compliance, and usability
- Establish organizational prompt engineering standards, best practices, templates, and governance frameworks
- Develop reusable AI frameworks that increase productivity and reduce repetitive administrative work
- Monitor AI performance and recommend improvements to maximize effectiveness and adoption
Workflow Analysis & Process Optimization
- Analyze organizational workflows, operational procedures, and business processes to identify inefficiencies and opportunities for improvement
- Conduct workflow assessments and process mapping exercises across departments
- Develop current-state and future-state workflow models
- Recommend and implement workflow enhancements that improve efficiency, productivity, compliance, and service delivery
- Create standardized operating procedures (SOPs), process maps, and operational documentation
- Partner with leadership to redesign workflows and eliminate operational bottlenecks
AI Workflow Design & Automation
- Design and implement AI-assisted workflows that improve consistency, scalability, and organizational performance
- Develop automation solutions that reduce manual effort and administrative burden
- Create repeatable AI-enabled processes that support decision-making, documentation, communication, reporting, and operational execution
- Identify opportunities to integrate AI and automation into existing business processes
- Collaborate with stakeholders to ensure solutions meet operational requirements and user needs
Operational Excellence & Innovation
- Support organizational initiatives focused on operational excellence, continuous improvement, and innovation
- Evaluate business processes and recommend technology solutions that improve efficiency and effectiveness
- Lead AI-driven process improvement projects from concept through implementation
- Assist leadership in developing long-term AI and automation strategies
- Support change management initiatives associated with new technologies and workflows
Automation & Technology Integration
- Identify opportunities to automate repetitive tasks and manual processes
- Evaluate, implement, and support workflow automation platforms and technologies
- Develop and maintain automation solutions using tools such as Zapier, Make, Microsoft Power Automate, Airtable, ClickUp, Notion, and similar platforms
- Monitor automation performance and identify opportunities for refinement and optimization
- Collaborate with IT and operational teams to support technology adoption and integration efforts
Documentation & Knowledge Management
- Maintain documentation related to prompts, workflows, automation processes, AI standards, and implementation strategies
- Develop SOPs, user guides, process documentation, and training materials
- Create and maintain centralized repositories for AI resources, workflow documentation, and automation libraries
- Ensure documentation remains current, accessible, and aligned with organizational standards
Training, Adoption & Change Management
- Train employees on AI tools, prompt engineering techniques, workflow best practices, and automation solutions
- Provide coaching and support to improve organizational AI literacy and adoption
- Facilitate workshops, training sessions, and educational programs related to AI and workflow optimization
- Promote responsible, ethical, secure, and compliant use of AI technologies
- Measure adoption rates and recommend strategies to improve utilization and effectiveness
Cross-Functional Collaboration
- Collaborate with executive leadership and department leaders to identify operational challenges and opportunities
- Translate business requirements into AI-enabled solutions and workflow improvements
- Gather stakeholder feedback and continuously refine AI tools and operational processes
- Support strategic initiatives that improve scalability, efficiency, employee experience, and organizational performance
Continuous Improvement & Industry Research
- Stay current on emerging AI technologies, prompt engineering methodologies, workflow optimization strategies, and automation trends
- Research and evaluate new technologies that may benefit Pacific Health Group
- Recommend enhancements that improve organizational efficiency, scalability, innovation, and competitiveness
- Continuously refine AI workflows, prompt libraries, automation solutions, and operational processes

Minimum Qualifications
- Bachelor's degree in Business, Operations, Information Systems, Technology, Communications, Healthcare Administration, or a related field; equivalent experience may be considered
- Minimum three (3) years of experience in AI implementation, workflow optimization, process improvement, automation, operations, or related disciplines
- Demonstrated experience utilizing ChatGPT, Claude, Gemini, Microsoft Copilot, or similar AI platforms in a professional environment
- Strong understanding of prompt engineering principles, AI capabilities, and workflow design methodologies
- Experience documenting workflows, business processes, SOPs, and operational procedures
- Strong analytical, organizational, project management, and problem-solving skills
- Excellent written, verbal, presentation, and communication skills
- Ability to work independently and manage multiple priorities in a fast-paced environment
Preferred Qualifications
- Experience implementing AI solutions within a business or healthcare environment
- Experience with workflow automation platforms such as Zapier, Make, Power Automate, Airtable, ClickUp, Notion, or similar technologies
- Experience supporting organizational change management and technology adoption initiatives
- Experience in healthcare, managed care, public health, behavioral health, or regulated industries
- Familiarity with process improvement methodologies such as Lean, Six Sigma, or continuous improvement frameworks
- Experience developing and delivering employee training programs
- Experience working with data analytics, dashboards, reporting tools, and business intelligence platforms
Work Environment & Travel Requirements
This is a hybrid/remote position requiring a combination of remote work and periodic in-person attendance.
The AI Prompt Engineer & Workflow Specialist may be required to attend leadership meetings, departmental planning sessions, training events, operational reviews, and organizational functions.
Occasional travel for meetings, training, conferences, or organizational initiatives may be required.
Must be willing to work occasional evenings and weekends as needed.
